Roadshows and trade events, end to end.

Concierge Collective plans and runs hospitality roadshows, travel trade evenings, launches and brand activations for hotels and resorts across India. Tell us the cities, the date and the budget — we handle the invite design, guest curation, venue, branding, on-ground management and the post-event report.

01 — Why roadshows

Meet the agents who actually sell you.

In India, a hotel's bookings still run through its agent network. A roadshow puts your team in a room with the right agents in a single evening.

A hospitality roadshow is a series of trade events in which a hotel or resort travels to key source cities — Delhi, Mumbai, Bengaluru, Ahmedabad, Kolkata — to meet travel agents, tour operators, wedding planners and corporate bookers face to face. Done well, it does in one week what a year of emails cannot: it turns your property from a rate sheet into a place the agent has tasted, seen and remembered.

The difference between a roadshow that produces bookings and one that produces a photo album is the guest list and the follow-up. We curate agent lists by city and segment — luxury leisure, MICE, weddings, honeymoons — send invitations that get RSVPs, and collect data on the night so that every conversation becomes a lead your sales team can work the next morning.

We run the whole thing. Concept and invite design, RSVP management, venue sourcing and negotiation, fabrication, branding and décor, entertainment, the presentation flow, on-ground management, pre- and post-event reel coverage and a data and ROI report at the end. Your sales team turns up and sells; we do everything else.

The same team also runs agent appreciation events, product launches, media dinners, festive and wedding-season showcases and brand activations — anything where a hotel needs to be in the room with the people who book it.

The Madifushi Soirée, May 2026. We designed and delivered the India roadshow for Madifushi Private Island, Maldives — trade evenings in New Delhi and Mumbai for the country's top travel trade. Invitations, guest curation, venue, branding, on-ground management, reel coverage and a post-event data report, all by Concierge Collective. The evenings were covered by the travel trade press.

What you get after the event. A clean database of every agent who attended, tagged by city and segment. Reels and photography for your channels and your partners. A report on attendance, engagement and leads that lets you judge the roadshow on numbers rather than compliments.

Who this is for. International resorts building their India trade network. Indian hotels and resort groups launching a new property or season. Destination and tourism boards. Any property that needs to be in front of agents in more than one city without building an events team.

04 — Questions

Questions about roadshows.

What is a hospitality roadshow?

A hospitality roadshow is a B2B marketing event in which a hotel or resort travels to several cities to meet travel agents, tour operators and corporate or wedding bookers face to face, usually as an evening presentation with dinner. It builds the agent relationships that drive most Indian hotel bookings. Our journal has a full explainer: what is a hospitality roadshow.

Which Indian cities should a roadshow cover?

Delhi and Mumbai are the anchors for luxury leisure and outbound. Bengaluru, Ahmedabad, Kolkata, Hyderabad and Chennai follow depending on your segment and source markets. We recommend cities based on where your bookings and your competitors' bookings actually come from.

How much lead time does a roadshow need?

Six to ten weeks for a multi-city programme, so that venues, invitations and RSVPs have time to land. A single-city agent evening can be delivered in three to four weeks.

What does a roadshow cost?

It depends on the number of cities, the venues and the guest numbers. We scope it as one written proposal covering venue, production, invitations, content and reporting, with no hidden agency fees on top.

Do you also organise events that are not for the travel trade?

Yes. Launches, media dinners, festive and wedding-season showcases, brand activations and guest events are all run by the same team. See our event planning checklist for hospitality brands.
